Use a template for structure, and the record for context
A useful recruiting email immediately answers four questions: which company is writing, which role is this about, what happens next and who can I contact? Templates prevent those details from being forgotten. The actual stage of the application makes the message personal. A company logo alone cannot replace a recognisable sender and an accessible point of contact.
The examples below intentionally use placeholders in square brackets. Replace them and check names, job title, dates, language and links before sending. Choose a consistent tone that suits your company. Base the language of candidate messages on the application or an explicit agreement with the person; an English interface used by the hiring team is not a reliable way to determine it.
1. Acknowledge the application and set expectations
Subject: Your application for [job title] at [company]. Hello [first name], thank you for applying. We have received your documents. [Contact/team] will review them with the hiring manager. We will get back to you by [realistic date] with the next step or a progress update. If you have any questions, please contact [contact details]. Best wishes, [name, role and company].
An acknowledgement confirms receipt; it should not imply a positive selection decision before a review has taken place. Include a deadline only if someone has accepted responsibility for it. If the team cannot commit to a date, describe the next step without inventing a timeframe. Check the reply route too: the applicant should know whether to reply directly or use a different contact.
2. Request specific missing information
Subject: A question about your application to [company]. Hello [first name], before the next step for [job title], we would like to clarify [specific information or document]. This will help us [explain its relevance to the role]. Please provide it using [reply or upload route]. If you do not have the document available or have any questions, please contact [name]. Thank you, [signature].
Avoid requesting every detail that might possibly become useful. Ask for what is relevant to the current step. For uploads, make it clear which files are expected and what limits the form applies. Reclyra lets teams request documents and answers through a personal link. Review the selected requests first: a generic 'please complete your documents' message leaves applicants guessing about what is missing.
3. Invite the person with enough context to prepare
Subject: Interview for [job title] at [company]. Hello [first name], we would like to meet you and discuss [purpose of the conversation]. The interview will take approximately [duration], with [names and roles]. It will take place [at an address / by phone / by video]. Please choose a suitable time using [booking link], or reply with your availability. For questions, contact [name and details]. Best wishes, [signature].
Include preparation only where it is needed; our guide to preparing interviews as a team covers planning. Once booked, the date, time, time zone and joining instructions should be unambiguous. Changes need an updated confirmation. Google Meet and Microsoft Teams are possible formats with a suitable connected calendar; a phone call or an in-person meeting is equally a complete hiring conversation.
4. Send a progress update before missing a deadline
Subject: An update on your application to [company]. Hello [first name], we said we would contact you by [date]. Our review is taking longer than planned because [brief factual explanation, if appropriate]. Your application is still being considered. We will contact you again by [new realistic date]. If your availability has changed, please let us know. Thank you for your patience, [signature].
Use this message only if the application is genuinely still open. A progress update should not postpone communicating a decision already made. Avoid disclosing internal personal details or information about other applicants. Record the new response date wherever the team manages the application. A considerate message loses its value if nobody takes responsibility for the next contact afterwards.
5. Communicate a rejection clearly and respectfully
Subject: Your application for [job title] at [company]. Hello [first name], thank you for your interest and the time you have put into your application. We have decided not to progress your application for this role. [If you met: Thank you also for speaking with us and sharing examples of your work.] We wish you the best with your next steps. Kind regards, [name and company].
A rejection needs clarity, not a judgement about the person. Do not invent reasons that the team cannot substantiate. If you provide individual feedback, relate it to actual requirements and examples discussed. Do not promise to keep someone's information indefinitely for future roles without an agreed process. Review sensitive individual cases internally rather than treating a template as an answer suitable for every situation.
Check the entire reply journey before sending
Preview the message using the relevant application details. Are the company and contact correct? Have all placeholders been replaced? Does the link work without a recruiter account? Is the English version complete, including its subject and signature? Test new templates with an internal address on a phone. Long paragraphs, unclear sender names and oversized logos are especially noticeable on smaller screens.
Give one person responsibility for maintaining the standard wording. Changes to booking routes, contact details or responsibilities should trigger a template review. Reclyra's features include templates and messages attached to an application to help teams communicate consistently. Your team must check the actual application status, commitments and appropriate tone before any message is sent.
Your checklist
- The company, role and reachable contact are clear.
- Placeholders and details have been checked against the actual application.
- The language matches the conversation with the applicant.
- Someone owns the next step and any promised deadline.
- Booking and reply links work without recruiter access.
- The mobile preview and complete signature have been checked.
